Role · CRM Manager

CRM Manager: two different jobs, one job title

In the UK the title covers lifecycle marketing and sales systems, which are different jobs. What each owns, what they pay, and which one you are advertising.

Where the band goes
Set by the rung, not the title. The ladder below says which is which, and the benchmarks post shows how each band was built.

Tools you will see on every CV

  • Salesforce or HubSpot, on the systems side
  • Braze, Klaviyo or Salesforce Marketing Cloud, on the marketing side
  • Flow, Workflow or whatever the platform calls its automation builder
  • Data loading and deduplication tooling
  • SQL
  • Sandbox and release management, where the estate is large enough to need it

Which is why the tool list is the least useful part of a CV for this role. Everyone has the same one.

One title, two candidate pools

Search the UK market for a CRM Manager and roughly half the results are retention marketing, running lifecycle campaigns on Braze or Klaviyo, and roughly half are somebody owning a sales platform. The adverts look similar. The people do not.

The cost of getting this wrong is not a bad hire, it is a wasted search. Fifty applications arrive, half of them are excellent at a job you were not advertising, and nobody finds out until second-stage interviews.

Custodian, not order-taker

For the systems reading, which is the one we place: the CRM is a production system that most companies treat as a shared spreadsheet. A good CRM manager applies the discipline of the former to something everyone else treats as the latter. Sandboxes, documentation, a release process, and a clear answer when a request would make the model worse.

Almost every unmaintainable CRM was built by someone competent who said yes too often.

Good and bad

What separates the two, in this role specifically.

These are the distinctions the rubric is built around. All of them are behavioural, so a CV cannot show them and a recorded session can.

  • 01
    Strong

Treats the CRM as a production system: changes go through a sandbox, are documented, and can be rolled back.

    Weak

Makes changes in production on a Friday because it was a small change.

  • 02
    Strong

Pushes back on requests that would degrade the data model, and offers an alternative that solves the underlying need.

    Weak

Implements every request as specified. The object model becomes unmaintainable within two years.

  • 03
    Strong

Owns data quality as an ongoing programme with measurement, not a one-off cleanup project.

    Weak

Runs a deduplication exercise once, declares it fixed, and watches it degrade.

What it is advertised as

The same job, at four rungs, under whatever title the advert reached for.

Titles for this work are not standardised, and the rung matters more than the wording. These are the variants currently live in the UK market, so you can search for the right one and recognise the wrong one.

  1. 01

    Executive

Builds and sends the campaigns, or processes the changes somebody else specified. Almost always the marketing reading of the title rather than the systems one.

    • CRM Executive
    • CRM Assistant
    • CRM Coordinator
  2. 02

    Manager

Owns retention and the lifecycle programme end to end, or owns the CRM platform and the process encoded in it. Which of the two depends entirely on whether the advert came out of marketing or out of revenue.

    • CRM Manager
    • CRM Marketing Manager
    • Lifecycle Marketing Manager
    • CRM Campaign Manager
  3. 03

    Systems owner

The systems reading, stated plainly. Owns the data model, the release process and the argument about what should not be built. This is the one Rareix places.

    • CRM & Revenue Operations Manager
    • CRM Systems Manager
    • Salesforce Administrator
    • Business Applications Manager
  4. 04

    Head of

In consumer businesses this is a senior marketing role owning retention revenue. In B2B it is usually a systems role that has grown a team. The two are not interchangeable and the title does not tell you which.

    • Head of CRM
    • Head of CRM & Lifecycle
    • CRM Director

Questions

Hiring a crm manager.

Does CRM Manager mean marketing or systems?
In the UK it more often means marketing. A CRM Manager advert from a consumer business is usually about retention: email, push, SMS and in-app, run through Braze, Klaviyo or Salesforce Marketing Cloud, measured on repeat purchase and churn. A CRM Manager advert from a B2B revenue team usually means the sales platform. Same two words, two different candidate pools, and the pools barely overlap.
How do we word the advert so we get the right people?
Name the platform and name the outcome in the first two lines. "CRM Manager (Braze, retention)" and "CRM Manager (Salesforce, revenue systems)" filter correctly before anyone reads the body. Advertising for a CRM Manager without either produces a shortlist split down the middle, which is where most of the wasted time in this search comes from.
Is a CRM manager the same as a Salesforce admin?
Overlapping, in the systems reading. An admin executes changes on the platform. A CRM manager owns the data model and the process it encodes, which includes deciding what not to build. If the job is mostly ticket queue, Salesforce Administrator is the more honest advert and will attract people who want that work.
When do we need one rather than a RevOps hire?
When the platform itself is the bottleneck: a data model that has accreted badly, releases that break things, or a hygiene problem nobody owns. If the problem lives in the handoffs between marketing, sales and customer success, RevOps has the mandate and this role does not.
Which of the two does Rareix place?
The systems one. Our assessment tests diagnosis, design, data and communication against a revenue system, so it measures the right things for a CRM manager who owns a platform and the wrong ones for a lifecycle marketer. If retention marketing is what you need, we will say so on the call rather than sending you a shortlist we cannot stand behind.
Do platform certifications matter?
They demonstrate familiarity with the platform, which is genuinely useful, and they say nothing about judgement. That is the gap the assessment exists to fill.
